Following our Annual General Meeting last week we are still without a Treasurer on the Committee and a volunteer Book Keeper to deal with the invoicing and cash management.
If we are unable to fill the role of Treasurer we are afraid that we will no longer be able to run the Club and will have cancel all bouncing in the Autumn or until we can fill this role.
As we cannot operate without a Treasurer we have now looked into employing a Book Keeper. This will be at an additional cost to the Club and although it is difficult to estimate the cost we currently run at break even so we will need to find additional revenue. The Committee has, therefore, reluctantly agreed to increase bouncing fees for the first time in 10 years by 50p a session, we will also need to increase the membership fee by £10 a year.
The Committee currently envisages that Finances will be managed as follows:
- employed Book Keeper will issue invoices to Club members, receive and pay invoices, and produce the end of year account
- the Treasurer will liaise with the Book Keeper and report to the Committee on finance matters, ideally this will be by regular attendance at the Committee meetings once a month though this it is not essential that this is every month by any means
- the final piece is ensuring that all bouncers have paid within two weeks of the start of each term to ensure we don't have to write off unpaid fees. This does not have to be the Treasurer's role as it needs support from the Coaches and Membership Secretary but we will need to put a process in place.
Could anyone who is prepared to take on the role of Treasurer please let us know as soon as possible; we will need to take a decision by the end of next week as to whether to offer bouncing next term. If anyone feels they can help out with the book keeping on a voluntary basis that would obviously be fantastic, we would probably still need to look at some increase in fees but it would be much less.
